1. Content, Document or Record?

Base: approved policy PDF is simply an object under editing → Document.
Changed fact: it must prove which policy was in force and be retained under formal recordkeeping → Record.

2. Synonym Ring or Authority List?

All of “doctor,” “physician,” “MD” work equally → Synonym Ring.
“Physician” becomes the required label and variants redirect → Authority List.

3. Taxonomy, Thesaurus or Ontology?

Product categories for browsing → Taxonomy.
Need broader/narrower + equivalent + related relationships → Thesaurus.
Need classes, instances, attributes, relations and events → Ontology.

Three-year email rule → Retention/Disposition.
Relevant email becomes subject to anticipated litigation before deletion → Preservation / Legal Hold; routine destruction stops.

5. Processing or Review?

De-duplicate, normalize, search and reduce ESI → Processing.
Decide responsiveness or privilege → Review.

6. Content Model or Information Architecture?

Reusable article components across web/mobile/print → Content Model.
Good content exists but users cannot navigate/search/label it → Information Architecture.

7. Precision or Recall?

Many irrelevant documents returned → Precision weakness.
Results are mostly relevant but many relevant items are missing → Recall weakness.

8. DMS, Records System or ECM?

Check-in/check-out/versioning/workflow → DMS.
Formal retention/disposition/legal record controls → Records Management System.
Enterprise coordination across multiple content capabilities/repositories/channels → ECM.

Readiness rule: You are ready only when you can state the specific changed fact that switched the answer.
